What is Tribal Knowledge?

Tribal knowledge is process know-how that lives only in people's heads — never written down, passed on informally, and lost the moment someone leaves.

Every company runs on some amount of tribal knowledge: the one person who knows why the deploy script has that weird flag, the workaround for the flaky vendor API, the actual approval chain that isn't in the org chart. It accumulates because writing things down is slower than just doing them, until the person holding the knowledge takes a new job and the team relearns it the hard way. The fix isn't a mandate to "document everything" — that never survives contact with a busy week. It's making documentation fast enough that people do it as a byproduct of doing the task, which is the whole premise behind Guidyy's record-and-generate approach.

01

Why tribal knowledge is a real business risk

It concentrates single points of failure. If only one person knows how to run a critical process, you don't have a documented company — you have a bus-factor problem waiting to trigger.

02

How to capture it before it walks out the door

Run a 30-minute session where the knowledge-holder does the task on screen while recording. That single recording, turned into a step guide, usually captures more real detail than a week of them trying to write it up from memory.

FAQ

Frequently asked questions

How do I find out what tribal knowledge exists on my team?+

Ask each person: "what would break if you were out for two weeks with no notice?" The answers are your tribal knowledge inventory — document those processes first.
